Planners, Lists, & Apps
Everyone has “their way” of keeping track of their tasks & appointments, but if you’re struggling with getting all of your “stuff” under control…keep reading for how I keep all the moving parts of my life in line.
I’ve read all the articles, tried different products, and finally found what works for me. So I hope you can read what I have to share, take what you need from it, and find what works for you to stay organized.
Now, most people will say to not use multiple platforms for your task/calendar management. It’s too easy to miss things and have them fall through the cracks. But for me, I use different platforms for different parts of my life, and that’s what works for me.
My phone calendar...I use this for ALL appointments. It is shared with my husband so he can check it (if he thinks of it) before committing us to anything. My JOB schedule is in there, any misc appointments (hair, dentist, etc), and my work calendar is in there. So at a quick glance, I can see what my week looks like, and my phone is always with me. This is a google calendar, it syncs with my CRM and lets my scheduler know when I’m available and it syncs with my Task Management software so I can see all.the.things.
Paper planner...I also put all my appointments in this. For me, I like to have it all in front of me on a daily & monthly basis. The one I’m using right now is a smaller 5”x8” one that has a monthly and weekly view. Within each week, it is broken out by day and each day has a place for your schedule as well as a to-do list. I got it here on Amazon.The to-do list in here I use for mostly personal stuff: like what laundry I’m doing each day, if I need to spend time in the office working on our personal bookkeeping, stuff like that. Usually on Sundays I’ll get this planner out, make sure I have all my appointments in it from my phone, and then plan out my week. This lets me see everything at a glance for the week and makes it easier to not overcommit myself.
Lastly, I used to use a task management software (ClickUp) to put it all together. And, honestly, I use this for my day to day more than the paper planner anymore. Mostly because it’s easier to move tasks around by just dragging & dropping. It shows my calendars (personal, business, family) and I’m able to break my tasks out by the different areas of my life (housekeeping, gardening, social media, blog posts, goal planning, client tasks, rental properties, etc). It also has great automation features to help me with my bigger projects by breaking them down into smaller tasks, and putting them in the correct order at the correct time.
